ALAF seeks to hire candidate with a Diploma in Procurement and Logistics Management for the position of an Assistant Warehouse Officer

Job Description

1.  Receiving


Accurately and timely process Goods receipts (GRN) for incoming materials


Ensure received goods are correctly stored in respective locations and the bin cards updated accordingly


Provide report of receipts and distribute to users


Record supplier invoice in Invoice Tracker and print GRN and forward to Procurement for Approval and payment processing


Review goods, delivery note and verify:

  •    Quality, quantity, price and defects
  •    Goods are intended for plant/Division in question
  •    Security stamp on Delivery Note (DN)
  •    Matching of DN details with ALAF LPO
  •    No indications of tempering the DN


Reject and report all deliveries where no physical stock was verified either due to sending them directly to the user (without stores involvement) or rubber stamping old customer claims


2.  Storage


Restrict access to stores and receiving areas to authorized personnel only


Isolate obsolete, idle stocks and fast moving inventory in storage areas and mark locations accordingly.


Isolate items which are not recorded in stock management ERP system and provide status reports.


3.  Issuing

  • Receive, evaluate, process and report discrepancy related to daily requirements
  • Supervise any actual movement of stock items from the warehouse and ensure no movement is carried out in his/her absence
  • Be accountable for any un-reported stock discrepancy in the span of control
  • Prepare, protect and pack consignments for delivery to customer and/or suppliers, ensuring that the items dispatched will be protected during transit.


4.  Record Keeping


Maintain updated records of inventory in Bin cards, ERP system and daily report templates


Ensure stock movement records are filled and kept in safe place


Record and report movement of items transferred to another location / store, available stocks in store, scheduled stock counts, damaged and/or obsolete stocks


5.  House keeping

  • Ensure warehouse is clean, arranged and tidy, free from dust, cobweb and unrequired items
  • Supervise cleaning contractors to support in ensuring a clean and tidy warehouse environment
  • Ensure EHS standards are maintained in the warehouse and implement action plans identified on each weekly SC management tours


6.  Leadership

  • Assist the Warehouse Manager by leading the stores team to deliver planned objectives
  • Oversee overall stores performance and take initiatives to improve
  • Identify knowledge gaps, train and develop the stores team to work efficiently and independently


7.  KPI’s

  • Inventory Turnover [Days]
  • Inventory Accuracy (%)
  • Day Sales of Inventory (DSI)
  • Warehouse Utilization (%)


8.  Others

Perform any other roles / duties as assigned by superior from time to time



  • Minimum Diploma in Procurement and Logistics Management / Stores Management / Supply chain / related field
  • Registration with Procurement and Supplies Professionals and Technicians Board (PSPTB)
  • Computer Literacy:
    • Microsoft Office

                  o   ERP Software Application experience




  • May be required to travel
  • The company may choose to relocate to branches or other sister offices as and when needed
  • Willing to work extended hours to accomplish job roles
