Wetlands International is the only global not-for-profit organization dedicated to safeguarding and restoring wetlands for people and nature. We are driven by the knowledge that safeguarding and restoring wetlands is urgent and vital for water security, biodiversity, climate regulation, sustainable development and human health. The organization has its global office in the Netherlands. Wetlands International has had an office in Kenya for the East Africa sub- region since 2011 and an office for the Africa Program based in Dakar since 1998. As its East African program grows Wetlands International is expanding into new East African countries including in Ethiopia, Uganda, Tanzania and South Sudan.

To strengthen the implementation of projects in Tanzania, we are seeking a Finance and Administration Assistant to join our growing portfolio.



The Finance and Administration Assistant will provide efficient and reliable Financial and Administration support for the Tanzania Projects and work closely with the respective project staff. S/he will work closely with other teams in Eastern Africa to ensure timely planning of office expenditures (supplier bills, procurements etc.) and that accurate financial records are kept coordinates with:

INSIDE Wetlands International:

  • Tanzania Team; East Africa Finance and Administration Team; Visitors from other Wetlands International offices 

OUTSIDE Wetlands International:

  • Suppliers, Host organisations, External consultants, especially those concerned with finance/ accounts support




  1. Prepare and submit budgets to the Finance Officer
  2. Monitor available funds
  3. Prepare and submit fund requests to the Finance Officer on time.
  4. Prepare and check that all payment requests are in order with correct calculations, signatures, correct coding and sufficient supporting documentation.
  5. Review the financial reports and ensure they align with the narrative reports
  6. Capture journal entries and reconcile General Ledger and Sub Ledger accounts
  7. Maintain an accurate and up to date record of accounting system reconciliations
  8. Maintain an organized and well-documented and sequential filing system for all cash disbursement vouchers
  9. Prepare for and facilitate financial year audits and also handle audit queries to ensure smooth audits
  10. Maintain a Fixed Asset Register
  11. Handle insurance claims for organizational assets
  12. Prepare an annual reconciliation with supporting schedules of the asset register to the relevant accounting records. 


  1. Carry out travel bookings (flights, hotels, car hire etc) as and when needed
  2. Provide on-the-spot administrative support during events including workshops and trainings
  3. Manage office telephone lines and messages
  4. Meet and greet visitors
  5. Draft letters and other documents
  6. Research, price, and purchase office furniture and other supplies.
  7. Complete and maintain a database of suppliers and contacts
  8. Perform general clerical duties eg. photocopying, faxing, mailing; maintain an electronic and paper filing system and file correspondence accordingly
  9. Maintain a calendar of events, assignments, reporting deadlines and payments due
  10. Support to staff in assigned project based work
  11. Perform other reasonably related duties as assigned



Qualifications, experiences and competencies needed:


  • Preferably a first degree in Accounting, Finance, Bachelor of Business Administration or Commerce with a major in Accounting.
  • Certified Public Accountant (CPA) 


  • A minimum of 3 years of relevant experience in similar position
  • Previous experience with local and/or International NGO has an added advantage
  • Knowledge of IT systems, Microsoft Office packages and/ or other accounting systems
  • Good knowledge of administrative and financial rules and regulations and Tanzanian NGO administrative needs




  • Ability to prioritize and meet deadlines
  • Organisational skills, particularly in respect of managing multiple tasks and clear records
  • Strong interpersonal skills
  • Ability to work under pressure, meet deadlines and handle multiple tasks simultaneously;
  • Ability to produce standard, accurate and well-documented reports;
  • Excellent writing and analytical skills;
  • Ability to work independently but also as part of a team
  • Fulfills all obligations to gender sensitivity and zero tolerance for sexual harassment; 


  • Interest in environmental issues and sustainable development
  • Proven ability to work in a multi-cultural environment
  • Experience of Human resource management and procedures 


  • Good command of English language is essential;
