Job Description

Administrative Tasks

  • To give appropriate training to staff and ensure they are working as expected on daily basis.
  • To ensure staff are also satisfied in terms of job expectations, monetary rewards and career growth.
  • To assist staff to work on their weaknesses and challenges
  • Record and follow up attendance registry
  • To monitor CCTV operation and use it as a tool in all department
  • To maintain the image of staff and good reputation  
  • To maintain the image of the branch
  • To supervise general cleanliness of the office
  • To monitor and supervise branch’s operation on daily basis
  • To supervise daily operation of each branch
  • To recruit staff with right attitude and skills for retail business

Quarterly Tasks

  • Prepare and monitor quarterly schedule for Servicing of air conditioner, computer, generator, fire extinguisher, TRA machines and company vehicle..
  • To create and prepare community help event each quarter

Annual Tasks

  • To renew Business Licence in each branch
  • To renew and manage lease agreement in each branch
  • To review and renew Staff contract
  • To prepare annual leave calendar
  • To prepare annual calendar for payments

Finance Tasks

  • To request , monitor and record usage of petty cash
  • Set up records of stock purchase
  • Deliver stocks to Branches
  • Prepare Stock reconciliation report in a store and branches
  • Supervise stocks taking within a branch and evaluate stock report
  • Pricing of Stock with VAT inclusive
  • Set up records of stock purchase
  • Deliver stocks to Branches
  • Pricing of Stock with VAT inclusive
  • Prepare payment on SEA and AIR freight
  • Issue payment of local import tax
  • Supervise stocks taking within a branch and evaluate stock report
  • Collect Stock from China/Godown
  • Order Price Card and Plastic Bags
  • Distribute Price Card and Plastics Bags

Monthly Tasks

  • To prepare monthly budget of the branch
  • To prepare monthly salary 
  • To prepare and issue payment of PAYE and SDL
  • To issue NSSF payment 
  • To issue WCF 
  • To prepare monthly VAT; record of Vatable and non Vatable expenditure 
  • To prepare and monitor Z report
  • To prepare Management Account
  • To prepare monthly expenditure report
  • To print monthly bank statement and reconcile with deposit slips
  • Deposit Company monthly savings

Quarterly Tasks

  • Issue payment of City levy
  • Issue payment on Provisional Tax

Annual Tasks

  • To issue rental charges on each branch
  • To issue Withholding Tax
  • To prepare insurance payment in all company assets
  • To revise and renew overdraft facilities
  • To prepare annual Management Account and issue Corporate tax
  • To follow annual calendar payment
