Job Details

Position: Human Resource & Administration Manager

Division: Head Office

Department: Human Resource & Administration

Reports to: Property Manager

Duties and Responsibilities:

·         Advice and assistance to set up the Company’s HR policy

·         Ensure that all HR policy and practices are in line with legislation required to secure compliance and safe operation

·         Ensure adherence to the Company’s policies and the national labour law in all processes and procedures

·         Ensure development and implementation of administrative systems and procedures

·         Professional advice and solution in personnel conflicts/processes or staff issues when relevant

·         Coordinate staff recruitment and exits, introductions, trainings, staff benefits schemes etc.

·         Coordinate with relevant partners, suppliers, authorities, lawyers etc.

·         Ensure accuracy of staff salaries

·         Ensure that staff records in all company are up to date and filed appropriately

·         Continuously monitor company HR standards to ensure that best practice is being driven

·         Large scale recruitment, on boarding, development and training

·         Co-ordinate the pre-employment requirements of the Company program

·         Maintain an awareness of the HR policy and procedures

·         Sight and review all policies and procedures and changes to the HR manual

·         Provide support to HR officers to implement policy, program and changes

·         Review and respond to HR audits

·         Ensure all HR records are adequately maintained, filed are archived

·         Employee manning, retention and turnover

·         Alignment of positions to overall strategic plan

·         Performance reviews

·         Identify training needs and spearhead the training programs and apply training to the Human Resource personnel to disseminate in training sessions according to schedules

·         Assist, support respective branches’ employee’s issues and provide resolutions and/or delegate duties to the department’s personnel per organizational structure for further dissemination

·         Write reports or schedules relating Human Resource and Administration on a bi-weekly basis and submit to Property Manager for upkeep of records and reports

·         Implement training and development programs and conduct relevant meetings according to the Head Office’s requirement

·         Ensure the application of any disciplinary actions are in compliance to the Correction Action policy and the Organization’s policies and procedures

·         Any disciplinary or related matters with its department’s employee or staff; the incumbent is responsible to complete relevant reporting documentation for the Management’s information and deliberation

·         Summarizing all Human Resource & Administration duties and ensure the Financial Controller is updated on the scheduled timetable for briefing and meeting

·         Carry out other duties as assigned by the Management relating all facets of the human resource and administrative functions in the Head Office.

·         Develop high quality business strategies and plans ensuring their alignment with short-term and long-term objectives

·         Lead and motivate subordinates to advance employee engagement develop a high performing managerial team

·         Oversee all operations and business activities to ensure they produce the desired results and are consistent with the overall strategy and mission

·         Make high-quality investing decisions to advance the business and increase profits

·         Enforce adherence to legal guidelines and in-house policies to maintain the company’s legality and business ethics

·         Review financial and non-financial reports to devise solutions or improvements

·         Build trust relations with key partners and stakeholders and act as a point of contact for important shareholders

·         Analyze problematic situations and occurrences and provide solutions to ensure company survival and growth

·         Maintain a deep knowledge of the markets and industry of the company

Personal qualities

·         Ability to work under pressure, independently and with limited supervision Ability to meet deadlines in multi-tasking environments

·         Ability to engage and motivate staff Good coordination skills


Qualifications and Skills

·         Minimum 5 years’ experience from working with HR and administration in a humanitarian/recovery context

·         Relevant university degree or other relevant educational background combined with professional experience.

·         Proven knowledge of national labor laws, taxation laws etc.

·         Knowledge about own leadership skills/profile

·         High-level competency in computer skills (Microsoft Office applications) Fluency in English, both written and verbal Fluency in one or more of the national/regional languages
